Open SWOT Studio

Two ways to run it. Both work the same.

• Desktop app. Run SWOT-Studio-Setup. It installs for your Windows user only and needs no admin rights. Open it from the SWOT Studio shortcut on the desktop or in the Start menu.
• HTML file. Open SWOT Studio by Sohel.html in Chrome or Edge. Always open it from the same folder and the same browser, because the work is saved in that browser.

The desktop app has a menu. File: Save full backup (Ctrl+S), Load backup (Ctrl+O). Screens: Ctrl+1 to Ctrl+7 open the tabs in order, Ctrl+8 opens this Guidebook. File, Save Guidebook as PDF writes this book as an A4 PDF straight to Downloads. Every file you export goes straight to your Downloads folder. A file with the same name gets " (1)" added, so nothing is overwritten.

Windows may show "Windows protected your PC" the first time, because the installer is not code-signed. Click More info, then Run anyway. If your IT blocks it, ask them to allow the file by its SHA-256 from SHA256SUMS.txt.

Load the template · tab 1

Drop SWOT ANALYSIS FORMAT.pptx on Load template. The strip on top shows the file, the slide count, how many deck pages have their own slide, and the lock.

• Set pages automatically maps each deck page to the right template slide. Check the Used as column if your format has extra slides.
• Pick a Demo factory and download the demo deck. It is built exactly as a real export, so you see the result before you start.
• Lock template when it is right. A locked template cannot be replaced or forgotten by mistake.

Load the factory master and the contact list · tab 2

Drop the factory master on tile A, and the contact list on tile B. The green line under them counts the factories, the main categories and how many factories have contacts.

• A new master replaces the library. Rows you locked permanently keep the library copy. Locked rows take the file's data and stay locked. Locked rows that are not in the file stay.
• The contact list adds new people and updates changed details. Nobody is duplicated.

Loading a master removes open rows that are not in the file. Export the library first if you edited it in the app.

Add or update a factory · tab 3

Two ways in: Import Excel (one supplier form or many rows), or the blank form for one factory. Both land in a list first. Nothing reaches the library until you tick the rows and click Move ticked rows to the library.

• Factory must match the factory name in the DD export exactly, for example Alpha Denim Ltd (Demo). The order data and the DD review match on this name.
• Name printed on slides is what the deck shows. Keep it short and clean.
• The four SWOT boxes are mandatory. Write one point per line. A factory without them does not save.
• Last SC and QA audit date is kept in the library and the Excel exports. It is not printed on the deck.
• Download one-factory supplier form gives the supplier a simple Excel to fill. It carries details and contacts only. Your SWOT, categories and status stay out of it.

Keep the Factory Library clean · tab 4

Every saved factory, with filters on every column. The tiles on top count what needs work.

• Import factory photos & audit reports takes files or one .zip. Name each file after the factory: <Factory> BD_FP1.jpg to _FP3, <Factory> BD_SC.png, <Factory> BD_QA.png. Download file name list gives the exact name for every factory.
• Import contact lists takes several .xlsx files at once.
• Export library writes the factory master Excel. That file loads back as file A.
• Lock rows you have checked. The lock levels are explained under Locks, statuses and checks.

Load the order and punctuality data · tab 5

Click Download template, fill one row per season and factory, and drop it on Import Excel. Columns: SEASON, MERCHANDISER, MAIN CATEGORY, FACTORY, SUPPLIER, TOTAL, SHIPPED, LATE. On time is calculated as shipped minus late.

• An import replaces the imported rows. Rows you added by hand stay, unless the file has the same season and factory.
• + Add data by hand adds one season and factory per row. + New season and + New factory are there too.
• SWOT status links each row to the library. Yes: all four SWOT boxes filled. Missing with + Complete SWOT: in the library, SWOT boxes empty. No with + Add SWOT: not in the library; the button opens the blank form already filled from the row.
• Close season locks a whole season permanently when it is final.

Review the order data against the DD export · tab 5b

Drop the DD export on Load DD file. The review keeps Dhaka Office orders, leaves out Cancelled, includes status New, and counts pieces (total_of_elements) per factory and season. Columns are found by name, so a changed layout still loads.

• Nothing changes until you click an action. Use DD qty writes the total quantity. If shipped would then be above the new order plus the over-shipment allowance (5% unless you change it in tab 5), a second question asks: Yes reduces shipped and late by the same % as the order, in whole pieces; No keeps them and marks the row in red. Example: order 100, shipped 90, late 5, DD says 80. Yes gives shipped 72 and late 4.
• Use DD qty for ticked updates rows with status Different. Permanent rows and closed seasons are never changed.
• Add ticked missing rows adds rows for factories that are in the DD and the library but have no order row. Add factory starts a new library factory from the DD name.
• Tolerance % treats small differences as Match. Leave it at 0 unless you agree a tolerance with the team.
• Export check to Excel keeps a record of the review.

Choose what to build · tab 6

Pick One factory, a Category, or All factories. In Category, pick the main category, then tick one or more product categories. Remarks such as no SWOT text, no orders and shipped > order show on the right of each factory in the list, and under the factory name when you build One factory. Tick the seasons the charts should cover. Open Cover text, export settings to set the cover date, Prepared by, Office, the punctuality period label and the export resolution.

The Order summary under it shows the tiles and one row per ticked factory. Export to Excel saves exactly that: the factories and seasons ticked, the same order, a total row, and an ABOUT sheet with the selection and the season base.

Export resolution: 4K Ultra HD 3840 x 2160 is the default and the best view. 300 DPI (4000 x 2250) is for print. 200 and 150 DPI make smaller files.

Preview and export · tab 6b

Every page shows as it will export. Click any page to see it large. In the large view, click again to zoom in, use Previous and Next or the arrow keys to move between pages, and press Esc to close. Untick a page's Export box to leave it out of PowerPoint, PDF and JPEG. The green or amber line above the pages says if a required field is empty.

The cover, info and SWOT pages are editable text. Chart pages are pictures. Whole selection builds one deck with every ticked factory.

A fixed copy to send. It uses the built-in picture of the template as background.

One picture per page, named with the page number shown on screen, for example Alpha_Denim_Ltd_Demo_p6_Punctuality.jpg.

Save a full backup

Click Save full backup in the top bar (Ctrl+S in the desktop app). One .zip file holds the library, order data, DD check, template, photos and audit reports.

• Save one at the end of every working session, and before you load a new master.
• To move to another computer, or from the HTML file to the desktop app, save a backup on one side and Load backup on the other.
• Load backup asks first and shows what the file holds. It replaces the work in the app.

Clearing the browser data, or opening the HTML file from a different folder, starts with an empty app. The backup is your safety net.
