3What this tool can and cannot tell you

A browser-based validator cannot guarantee mailbox availability or future Office 365 delivery. It can identify obviously invalid addresses and several technical risk indicators. Actual delivery status should be confirmed from Office 365 bounce / NDR results.
Checked here: syntax, domain shape, top-level domain, role accounts, free-mail domains, likely typos, duplicates and blanks. Not checked here: whether the mailbox exists, whether the person still works there, or whether your tenant will accept the address. Record real outcomes under Delivery status.

The full database. Every imported row is kept, including flagged ones.

1Email health

Every address with its classification and the reason behind it.
Low risk passed syntax, domain shape and every risk check. Warning needs a human look before a bulk send. Invalid is malformed and cannot be delivered as written. Missing has no address at all. Bounced is recorded from a real Office 365 NDR, which is the strongest evidence there is.
Adding here is the same as adding under Data Management.

Addresses you took out by hand. Use this when you learn a contact has left, whatever the checks say.

1Emails requiring action

Everything that is not safe to bulk-send. These stay in the master database, flagged, never deleted.

2Record Office 365 bounces

Two ways in. Drop the bounce messages themselves, or paste the addresses.

Column names are matched loosely, so Company, Organisation, Supplier name and Vendor all map to the same field. Every sheet in the workbook is read. After loading you get a mapping report and a row count. Two mobile columns are read: Mobile no 1 and Mobile no 2. An older file with a single Phone no column still loads into Mobile no 1.

2Save a new contact

Start typing a company name. If the company is already in the file it will offer it, and fill the group for you.
Type an email address to see its health before you save.

3Records

Add, edit and delete. Changing an email re-runs validation on the spot.

4Duplicates

Nothing here is deleted automatically. Review each group and decide.

1Saved versions

Dated snapshots kept in this browser only. History is separate from your loaded contacts: clearing the data on the Data Management screen leaves every version here untouched.

2How combining works

Two or more snapshots of the same database, put back together.
Contacts are matched on their email address. Where the same contact sits in several versions, the newest version supplies the details, because a later snapshot is a later state of the same record. A recorded bounce or a dropped address is kept if any version carries it, so a later clean snapshot cannot quietly erase a bounce you already know about. Contacts that appear in only one version are all carried through.
This clears history only. Your loaded contacts stay.

1Save your working file

One file, saved over itself each time. This is the file you load back next session.
What the file carries. Your original eight columns first, in the original order, so it opens looking like the file you started from. After them sit the working columns: delivery status, dropped from mailing and why, mail-server result, notes, last checked and last updated. Loading it back restores all of that, so recorded bounces and hand-dropped addresses are not lost between sessions.
The browser is not a safe place to keep this. Clearing site data, a new machine or a different browser and it is gone. Save the file to your own folder. The browser copy is a convenience between saves, not a backup.

2Add a contact

Type a contact straight in, with or without a loaded file, then save. Start typing a company name and it offers the companies already in your database.
Type an email address to see its health before you save.

3How the round trip works

Three steps, one file, repeat as often as you like.
  1. Save here when you finish a session. Keep the same file name and overwrite it.
  2. Edit in Excel if you want: add rows, correct addresses, delete a contact who has left. Do not move or rename the first eight columns.
  3. Load it back under Data Management next time. The count, the bounces and the drops all come back.

1Export

Every export is written in this browser. The file name carries today's date.

2Validation report

A plain summary you can attach to an email when you ask a group to fix its contacts.
